Job profile-
Maintain ID list, Crew List and Wage Lists of all vessels.
To review the documents and original licenses of all applicants and joiners and check whether they are in possession of the relevant qualification documents/licenses applicable to the Flag of the vessel being appointed. Ensure licenses and Travel Documents are valid.
In case of any deficiency to make arrangement for processing necessary documents for the selected candidates , through the respective authorities.
To maintain a record of all licenses applied for ad ensure that the original copies are handed over to the applicant and copies are retain in the Personal file of the Staff.
Make arrangement for trade tests for welders / fitters prior to their appointment as applicable.
Send candidates for pre- joining medical / Yellow Fever.
Issue safety gear to candidates.
Send application forms for licensing to the various agencies for the flag state documents.
Sending / Issuing letter for authentication of certificate from National Authorities.
To keep track of expenses incurred towards licensing and certification, medicals, etc and advise the accounts department to make necessary deductions from the Staff.
To verify and certify all pre-joining invoices e.g. medicals , safety gear etc.
Ensure that stock of application forms, medical form etc.
Keep abreast with the qualification and certification requirement of the various Flag Administrations as far as those concerned with offices/ratings and petty officers as applicable.
Prepare Joining papers of the signing on officers/ ratings.
Notify joiners of all relevant contact nos. and addresses as a part of contingency plan in Manager.
To keep the personal files continuously updated.
Ensure that the ERM is updated as and when there are any changes to the crew /wages, availability dates and certification details of officer’s/ratings.
To send the appropriate documents pertaining to the ITF requirements to the Head office.
To carry out any other work that may be assigned by Manager .
